How Teams Applied What They Learned

Community Welfare Association, Johor Bahru
Challenge
This small association had been running three separate community programmes for four years but kept all funds in a single bank account. When funders asked for a breakdown by programme, producing one took several days and involved guesswork.
Approach
The treasurer enrolled in the Finance Basics Course and worked through the fund-tracking template section with their actual programmes as examples. Within three weeks they had restructured their tracking into distinct programme ledgers.
Outcome
Funder reporting that previously took three days now takes approximately four hours. The board now receives a one-page summary before each quarterly meeting. The association has continued using the same template without modification for over six months.

Challenge
Staff turnover meant financial knowledge walked out the door repeatedly. New staff took months to understand the organisation's recording system — or discovered there was no consistent system to learn.
Approach
Two finance staff and one programme lead attended the Stewardship Workshop together. The hands-on exercises used their own organisation's data structure, and they developed a written recording guide as part of the process.
Outcome
The written guide became their onboarding document for new finance staff. The following year's audit went more smoothly than any previous year, with the auditor raising significantly fewer clarification queries.
"We finally have something we can hand to a new person and say — this is how we do it here. That did not exist before the workshop."

Challenge
A growing organisation with multiple grant streams had outgrown its original spreadsheet setup. Internal reporting was inconsistent, and preparing for the annual external review caused significant stress each year.
Approach
The finance lead enrolled in the full eleven-week program. The facilitator check-ins allowed her to apply programme content to their specific grant conditions and funder reporting requirements as she progressed through the modules.
Outcome
By the end of the program, the organisation had a complete stewardship framework in place and a full template toolkit customised to their grant categories. The next external review was completed in less time than any previous year.
